This vacancy requires current enhanced CRB. Previous work experiences in this field are essential.
Responsibilities:
To perform effectively all administrative tasks required
• Manage the diary and appointments.
• Responsibility for arranging the production, including typing, of correspondence, documents and reports to agreed deadlines.
• Assisting with drafting of correspondence and filtering calls as necessary.
• Dealing appropriately and communicating effectively with all members of staff, clients, consultants, contractors and various stakeholders as necessary to meet the requirements of the post. Maintaining integrity and confidentiality in all internal and external communications.
• Responsibility for the post and e-mail and dealing appropriately with urgent messages, items for signature, confidential communications and diverting to appropriate third parties matters which do not require the Heads of Support Services and Capital Programme Delivery personal attention.
• Providing and organising information, resolving queries, problems, requests for assistance and dealing appropriately with any matters affecting Property Services.
• Responsibility for establishing and maintaining effective systems for filing, information retrieval, bring forward, day folder and briefing and for the reproduction of documents required
• Liaison with Central Finance & Administration Group staff to arrange meetings, conferences, refreshments and other events for the Heads of Support Services and Capital Programme Delivery, including bookings, invitations and mailings, minute taking and any follow–up action. Ensure appropriate progress chasing to ensure successful delivery.
• Responsibility for ensuring regular 1:1 meetings take place with the Heads of Support Services and Capital Programme Delivery to forward plan, give feedback and keep up to date with objectives in order to provide a pro-active support role.
• Maintain record systems as necessary including confidential and financial information
• When necessary, and as directed by the Central Finance & Administration Group Leader, assist locally across the service to cover for absence due to holidays, sickness or when workload dictates in order that the organisation’s targets and objectives are achieved.
• Co–ordinate returns, including sick absence, annual leave and flex-time etc. for staff reporting to the Heads of Support Services and Capital Programme Delivery.
• Undertake training and constructively take part in meetings, supervision, seminars and other events designed to improve communication and assist with the effective operation of Heads of Support Services and Capital Programme Delivery. • Comply with systems for responding to complaints, Members’ and Ombudsman enquiries and telephone queries in a manner so as to provide a high level of customer care and thus ensuring HFI’s reputation is kept at the highest standard.
• To ensure that services are provided in accordance with commitment to “Best Value” and high quality service provision to service users
• To ensure that the requirements of Health and Safety Legislation and relevant Homes for Islington’s policies are carried out in relation to the responsibilities of the job.
• To use or assist others to use the Information technology systems to carry out duties in the most effective and efficient manner.
